Position: Every Child TN Coordinator
Department: Governor’s Faith-Based and Community Initiative
Supervisor: Every Child TN Director
Location: Nashville Metro, TN or Surrounding Areas.
Specifics: Full time role with in-office requirements.
Salary Range: $60K-$65,000 annual salary based on experience.
Role Summary:
The Coordinator of Every Child TN will be instrumental in providing key project management and administrative support to the Director of Every Child TN, who is responsible for fostering collaboration between the Governor's Faith-Based and Community Initiatives (GFBCI), Department of Children's Services (DCS), faith-based organizations (FBOs), and community-based organizations (CBOs) like The Contingent, CarePortal, TN Kids Belong, Promise Serves, and many more. This role is an administrative and key project management role to support a statewide initiative and reports directly to the Every Child TN Director.
Job Description:
● Organizing meetings, including scheduling, sending reminders, reserving a conference room, coordinating parking, and organizing catering when necessary for the Every Child TN Director’s needs.
● Supporting the Hubspot ECTN reporting management and helping to onboard new Tennessee volunteer organizations.
● Support managing the Every Child TN Directors' key meetings, including making appointments and prioritizing the most sensitive matters across the four priorities.
● Coordinate initiative-wide projects and ensure tracking and reporting within Monday.com.
● Take meeting minutes, document next steps, and ensure task completion as requested by the Every Child TN Director.
● Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on behalf of the Every Child TN Director.
● Filing, retrieving, and maintaining comprehensive and accurate records, documents, and reports using G Suite, Microsoft Word, and Dropbox.
● Coordinating travel arrangements, including car rentals, flights, and hotel accommodations as needed for the director. As well managing responses to ECTN Network calendar and communicating with necessary parties.
● Coordinate logistics, communications, and vendor management for strategic meetings, events, and hospitality efforts, including locations, attendee communications, food, and beverage.
● Ensure program goals and objectives meet and exceed expectations.
● Compile initiative data and create executive reports within required deadlines.
● Answering phone calls in a polite and professional manner.
Qualifications:
● Three or more years of experience in executive assistant roles, program, or project management.
● Exceptional skills in problem solving, agility, time management, facilitation, and effective communication.
● Experience in supporting small to medium-sized teams.
● Passion for the foster care system and supporting vulnerable children in the State of Tennessee.
● Strong ability to manage multiple projects with attention to detail and stakeholder logistical alignment.
● Flexibility to work with various leadership styles and synthesize information effectively
● Experience in partnership efforts with faith-based organizations, nonprofits, and/or government agencies.
● Excellent written and verbal communication skills, with the ability to present information clearly to various stakeholders.
Education Requirements:
● High School Diploma Required
● Bachelor’s degree preferred.
● Technology proficient: experience in or the ability to learn HubSpot, Monday.com, Microsoft 360 Suite, Outlook, and social media platforms.
● Must be based in the Nashville/Franklin Metro Areas.
