Location: Nashville Metro, TN or Surrounding Areas.
Specifics: Full time role with in-office requirements.
Salary Range: $60K-$65,000 annual salary based on experience.
Role Summary:
This role involves key administrative and project management support for the Director of VMI, who works closely with the Tennessee Department of Correction (TDOC), Department of Children's Services (DCS) Juvenile Justice Division, and statewide reentry partners. Responsibilities include supporting the Director of VMI in project management and administrative responsibilities to enable the program’s growth from two active pilots to a sustainable model that can scale to selected state prisons in Tennessee. The goal of this initiative is to ensure that justice-involved returning citizens are equipped with community support and tangible resources to find flourishing and sustainable paths that lower recidivism.
Job Description:
● Work closely with VMI Director, cross-functional teams, and contract personnel to manage initiative deliverables, required resources, and quality control for all VMI programming.
● Manage program implementation and assessments for Mentor and Mentee engagement at designated facilities.
● Identify program risks and create solution-oriented feedback to the VMI Director.
● Ensure program goals and objectives meet and exceed expectations.
● Organize meetings, including scheduling, sending reminders, reserving a conference room, coordinating parking, and organizing catering when necessary.
● Support managing the VMI Director’s key meetings including making appointments and prioritizing the most sensitive matters across the initiative.
● Coordination of initiative-wide projects and ensuring tracking and reporting within Monday.com.
● Take meeting minutes, document next steps, and ensure task completion as requested by the Director of VMI.
● Filing, retrieving, and maintaining comprehensive and accurate records, documents, and reports using GSuite, Microsoft Word and Dropbox.
● Coordinating travel arrangements including car rentals, flights, and hotel accommodations as needed for the director.
● Coordinate logistics, communications and vendor management for strategic meetings, events and hospitality efforts including locations, attendee communications, food and beverage.
● Ensure program goals and objectives meet and exceed expectations.
● Compile initiative data and create executive reports within required deadlines.
● Answering phone calls in a polite and professional manner.
Qualifications:
● Three or more years of experience in executive assistant roles, program or project management.
● Exceptional skills in problem solving, agility, time management, facilitation, and effective communication.
● Experience in supporting small to medium size teams.
● Passion for the justice-impacted community and supporting reentry for Tennesseans.
● Strong ability to manage multiple projects with attention to detail and stakeholder logistical alignment.
● Flexibility to work with various leadership styles and synthesize information effectively.
● Experience in partnership efforts with faith-based organizations, nonprofits, and/or government agencies.
● Excellent written and verbal communication skills, with the ability to present information clearly to various stakeholders.
Education Requirements:
● High School Diploma Required
● Bachelor’s degree preferred.
● Technology proficiency: previous experience or the ability to learn HubSpot, Monday.com, Microsoft 360 Suite, Outlook and social media platforms.
● Must be based in Nashville Metro Areas or surrounding areas.
